Unlike in other countries, the scholarship application process in Germany includes filling out more than just one application form. Documentation is important for German scholarships because scholarship committees evaluate hundreds of highly qualified applicants based almost entirely on their written materials. 

Also, because the in-person interviews are rare, owing to the physical distance and little convenience, the scholarship committees rely solely on your documents to match your academic excellence, language proficiency and exact fit for the scholarship. If any discrepancy is found in your submitted documents, it can directly delay or derail the application process.  Hence, uploading the correct and complete documents is important to boost your chances of scholarships in Germany.

Now, there are various institutions and organisations in Germany that act as umbrella bodies to several scholarships; hence, knowing the structure and how these scholarship bodies work is important to understand what documents are required for scholarships in Germany. 

Understanding the Document Requirement for German Scholarships

Most students assume that there is only one scholarship organisation that funds all scholarships in Germany, i.e. DAAD. However, to a larger set of scholarships, this is true. But there are four distinct types of scholarship sources, each with its own application process, selection criteria, and documentation. So, there is no single universal "Germany scholarship document checklist". But still, all of them ask for the same core academic and identity documents and then layer on a few extra documents depending on the funding body's specific requirements and priorities.

Documents Required to Apply for Scholarships in Germany

Below is a consolidated list of documents required for scholarships in Germany, and these are the common documents that are requested by all the scholarship bodies.  

1. Completed online application form: A completely filled online application form submitted directly via the online portal of the scholarship is the first requirement. Mind it that the details you give in your scholarship application form must match your educational and identity documents. 

2. An updated CV in a tabular format - spreading across 1 page only is generally required. However, for scholarships like DAAD, applicants can submit a CV of a maximum of 3 pages.

3. Letter of Motivation and Statement of Purpose: An LOR is required from a previous faculty or employer to vouch for your skills. It is required by every scholarship body in Germany. An SOP is generally needed to address why you chose your specific subject and university, why you're applying for this particular scholarship or foundation, and what you hope to gain personally and professionally out of this. These two are among the most heavily weighted documents required for scholarships in Germany.

4. Academic degree certificates and transcripts: These documents are also required by all universities. As most of the fully funded scholarships cover taught and research-based master’s and PhD courses, you’re required to submit a scanned copy (soft copy) of your bachelor’s degree. If the final degree hasn’t been provided yet, you can submit a provisional degree certificate and later provide the final degree.

5. Letter of admission or proof of contact with a German institution: Scholarships in Germany require proof that you’ve been admitted to or accepted by a university. 

6. Language proficiency test: For English-taught programs, IELTS, TOEFL or Cambridge English Test are generally required. For German-taught courses, tests like TestDaF, DSH, Goethe-Institut certificates, or the Deutsches Sprachdiplom are generally required. The language proficiency must be at least at the B2 level. 

Now, below are the documents that are required not by all, but most scholarship bodies in Germany.

7. Letter of recommendation: A LOR is typically required by DAAD and other foundational scholarships.

8. List of publications: These are generally relevant and required for research-based or doctoral scholarships - mostly DAAD. These are, however, not required for the usual taught master’s courses.

9. Research proposal or study project description: This document needs to outline a research question, methodology and a realistic timetable. This is not required for general Master's study scholarships or for the Deutschlandstipendium, but for DAAD's research scholarships and doctoral programmes, and for doctoral applications to foundations like Heinrich Böll.

10. Proof of personal or family circumstances/conditions: Certain scholarships, but not all,  require applicants to describe their personal, financial or family obstacles - which is a part of their holistic selection process. 

11. Proof of awards, prizes, or special academic achievements: For merit-based scholarships, supporting documents of your achievements are required. 

12. Certified translations: If any of your original documents are not in German or English, then you would be required to submit official translations of the same. 

Important Note: While Applying for Scholarships in Germany

Always remember that a scholarship application and a university/visa application are separate processes with separate document trails. Holding a confirmed DAAD or other German/EU public scholarship can, in some cases, simplify your visa application later (for instance, it can substitute for a blocked account as proof of financial means), but it does not replace the academic document verification or visa documentation required by German universities and the German missions abroad. So, students must not try to bypass any of these processes and documents for visa, university and scholarship applications.
